Booking software for Canadian allied-health clinics: compare

Short answer: For a Canadian allied-health clinic, the shortlist question isn't "which booking app looks nicest" but "which system books, collects intake, bills insurers and keeps records in one place". Compare online booking per practitioner and location, intake forms tied to appointment types, TELUS eClaims direct billing, where patient data is stored, and how booking buttons fit your website. Then test two or three systems with your real schedule before you commit.

The criteria that actually separate systems

Criterion What to check Why it matters in a Canadian clinic
Online booking Booking per practitioner, per location and per treatment type; new vs returning patient rules Patients often choose a specific therapist; first visits need longer slots
Website integration Embed codes or plain links for "Book online" buttons per clinic, practitioner and location Each practitioner bio page can carry its own button
Intake forms Templates, appointment-type rules, automatic sending, reminders Forms done before the visit save front-desk time
Insurance billing TELUS eClaims integration: eligibility checks, claim submission, reversals, reconciliation Direct billing is a deciding factor for many patients with extended health benefits
Payments Card on file, deposits, packages, gift cards Reduces no-shows and front-desk handling
Data location Where patient data is stored for Canadian accounts A common question from clinicians and patients
Charting Templates for your discipline, sign-off, attachments Avoids running a second system
Multi-location Shared patients, separate schedules, reporting by site Growing clinics hit this quickly
Support and migration Import from your current system, onboarding help, Canadian support hours Switching is the riskiest week of the year

Online booking and the website

Ask how booking buttons land on your website. Jane, a Canadian practice management system, documents embed codes for a main "Book Online" button and a separate button for each practitioner, plus separate codes per location in multi-location clinics. Its guide also notes that site builders that don't take raw HTML can use the plain booking URL behind their own button. That's the pattern to look for in any system: one link per practitioner and location, so a patient reading a therapist's bio books with that therapist in one tap.

Intake forms

Good intake handling means the right form reaches the right patient automatically. Jane's intake guide, for example, explains that forms can be attached to appointment types and sent with booking confirmations for eligible appointments, that incomplete forms trigger prompts in appointment emails and an automatic reminder 24 hours before the visit, and that forms can include profile fields, questionnaires, consents, and insurance and card details where those add-ons are used. It also notes that existing PDF or Word forms can't be imported directly; you rebuild them from templates.

Ask every vendor: can forms be different for a first physio assessment and a massage follow-up? Do they send automatically? What happens if a patient arrives without completing one?

Insurance billing: TELUS eClaims

TELUS Health describes eClaims as a free direct billing and electronic claims service for allied healthcare professionals and clinics across Canada, letting providers verify coverage, submit claims electronically to participating insurers and receive real-time adjudication. Several practice management systems integrate with it. Jane's eClaims page describes submitting, reversing and running eligibility checks from inside Jane, with responses in seconds; ClinicSense's feature page describes real-time coverage checks before treatment and keeping claim data alongside patient records.

The questions to ask: Is the integration included or an add-on? Can the front desk check eligibility before the appointment? How are partial payments and patient balances handled? How are claims reversed?

Data location

Where patient records are stored is a reasonable feature question to put to every vendor. Jane's security FAQ, for instance, states that data location depends on the account location chosen at sign-up and lists Montreal, Quebec, and Calgary, Alberta for Canadian accounts. Ask for the same in writing from each system on your shortlist, along with backup locations, and check the rules that apply in your province.

Shortlisting in five steps

  1. Write your clinic's must-haves on one page: disciplines, practitioner count, locations, insurers you bill most often, packages, and any integrations (accounting, marketing email).
  2. Cut to three systems that meet every must-have on paper, using each vendor's own feature pages and help guides rather than review sites.
  3. Run a real-week test. Recreate one week of your actual schedule in each trial: a new patient booking online, an intake form, an eClaims submission in test mode if offered, a cancellation and a package redemption.
  4. Check the website side. Add one practitioner's booking button to a test page and book from a phone. Count the taps.
  5. Ask about leaving as well as joining. How do you export patients, appointments and charts if you switch again? A good answer here is a good sign.

What the website should do once you've chosen

  • A "Book online" button in the header linking to the main booking page
  • Practitioner bio pages, each with its own booking link
  • Location pages with their own booking links if you have more than one clinic
  • A page explaining direct billing and what patients should bring to their first visit
  • A link to the patient portal or app for existing patients

FAQ

Do patients need to create an account to book?

In most systems, yes, so their records and forms attach to the right profile. Make sure the sign-up step is short on a phone.

Is TELUS eClaims built into every clinic system?

No. Integration varies by vendor and sometimes by plan. Confirm it on the vendor's current pages and in your trial.

Can I keep my current website and add booking?

Yes. Most clinic systems provide booking links or embed codes you add to your existing site, so a rebuild isn't required.

How long does switching systems take?

It depends on data volume and the vendor's import tools. Plan for a quiet period, run both systems briefly in parallel, and confirm historical records came across before you cancel the old one.
