Click and Collect for a Small Retailer: Website and In-Store Flow

Short answer: Turning on click and collect takes minutes: "Pickup in store" in Shopify's shipping settings, or Local Pickup in WooCommerce's block checkout. Making it work takes a routine: accurate stock at the pickup location, a realistic "ready by" time, a message only when the order is genuinely bagged, a quick name or ID check at the counter, and a rule for orders nobody collects. Most click-and-collect complaints come from the shop floor, not the website.

The end-to-end flow

Think of it as three lanes that have to stay in step.

Online: what the customer sees

  1. Product page. Ideally, shoppers see whether an item can be collected from your shop before adding it to the cart. Shopify says themes that support pickup availability can show this.
  2. Checkout. The customer chooses between delivery and collection. With collection, they shouldn't need to type a delivery address.
  3. The promise. An expected pickup time ("usually ready in 2 hours", "ready next business day") is shown at checkout. Make it a promise you keep on your busiest Saturday, not your quietest Tuesday.
  4. Order confirmation. Confirms it's a collection order, which shop, and says "we'll message you when it's ready. Please wait for that message before coming in."

Staff: what happens behind the counter

  1. New order alert. Someone has to notice the order. Use a notification to a shared shop email or the POS, not one person's inbox.
  2. Pick and check. Pick every item, check condition and size, and bag it with the order number and customer name on the outside.
  3. Short items. If something is missing, decide straight away: substitute (with the customer's OK), split the order, or refund that line. Don't send a "ready" message for a partial order without saying so.
  4. Mark it ready. Only now send the ready-for-collection message.
  5. Shelve it. One dedicated shelf or bin, sorted by order number or surname.

Customer: the collection

  1. They arrive with the message on their phone.
  2. Quick check. Name plus order number, or ID for higher-value orders.
  3. Hand over and mark as collected in the system, so the order closes and nobody chases it.

Setting it up

Shopify

According to Shopify's help centre, as of November 2026:

  • You need at least one location that fulfils online orders, and your store must be on the current checkout.
  • Go to Settings > Shipping and delivery, then Pickup in store under additional delivery methods. Choose the location and turn on Let customers pick up orders directly at this location.
  • Set the Expected pickup date (processing time), which is shown to customers at checkout.
  • In the Ready for pickup notification section, write your pickup instructions: opening hours for collection, where the counter is, parking, what to bring. Shopify notes this text replaces any customisation in the template's email body.
  • Store transfers are optional. By default, pickup is offered only when the whole order is in stock at that location. If you have several shops, you can let Shopify transfer stock to the pickup location and set a longer processing time for those orders.

A customer can mix shipped and collected items in the same order, which is handy but means staff must look at fulfilment lines carefully.

WooCommerce

WooCommerce's current Local Pickup works with the Checkout block, so if you still use the older shortcode checkout, switch first. Then:

  • Go to WooCommerce > Settings > Shipping > Local pickup, tick Enable local pickup, and optionally rename it ("Click & Collect") or add a charge.
  • Add a pickup location with a name, full address and a details box. Use the details for collection hours and directions; customers see all three fields.
  • At checkout, the Delivery block lets shoppers toggle between Ship and Pickup, and they don't need to enter a shipping address for pickup.

Note one limitation in WooCommerce's documentation: the block-based Local Pickup isn't tied to shipping zones, so it shows for every customer wherever they are. If you only want it offered nearby, the documentation points to the legacy local pickup method. Also check how your "order ready" email is sent; core WooCommerce doesn't have a separate ready-for-collection status, so many shops add a custom order status or use their email tool for it.

Stock accuracy: the part that breaks it

A click-and-collect order for something that sold at the till ten minutes earlier is the classic failure. To reduce it:

  • One inventory. Your POS and website should draw from the same stock count, ideally the same system. If they're separate, sync as often as you can and keep a buffer.
  • Safety stock for collection. For fast sellers, hold back one or two units from online availability.
  • Pick fast. The longer an order waits before picking, the more chance the item walks out the door with a walk-in customer.

Holding period and no-shows

Decide how long you'll hold orders (for example, seven days), say so at checkout and in the ready message, and send one reminder before the deadline. After that, follow your stated policy: refund and restock, or contact the customer. Write it down so every staff member handles it the same way.

Staff checklist

Every shift

  • [ ] Check for new collection orders at opening and at set times (say, every hour)
  • [ ] Pick, check and bag; label with order number and surname
  • [ ] Mark ready only when the whole order is bagged
  • [ ] Collection shelf tidy and in order

At handover

  • [ ] Ask for name and order number; ID for orders above your chosen value
  • [ ] If someone collects for another person, check the order note or ask the buyer to email ahead
  • [ ] Mark as collected straight away

Weekly

  • [ ] Review uncollected orders against the holding period
  • [ ] Note any "out of stock at pick" cases and why

FAQ

Should click and collect be free?

Usually, yes, since it saves you postage. WooCommerce's Local Pickup has an optional price setting if handling costs justify a charge; on Shopify, check the pickup options in your own shipping settings.

Can I offer collection from a market stall or pop-up?

On WooCommerce, add the stall as a pickup location with clear dates in the details box. On Shopify, pickup is tied to locations, so you'd set one up for the stall and switch it on and off.

What if a customer turns up before the ready message?

Have a quick lookup routine: find the order, pick it on the spot if possible, and gently remind them about the message next time.

Do I need an app?

Not for the basics. Apps help with time slots, curbside handover or multiple pickup points with different hours.
