Running a Customer Referral Program From Your Website
Short answer: A referral program works when it's easy to share, the reward is worth sharing for, and you can tell reliably who referred whom. Online stores usually do best with a referral app that gives each customer a link or code and pays rewards automatically. Service businesses with fewer, larger jobs can run it with a simple "who referred you?" field, a unique code, and a CRM or spreadsheet. Either way, decide the rules, fraud checks and reward timing before you launch.
Program design worksheet
Fill this in before you look at any software. The answers decide which tool fits.
1. Who can refer?
- Any customer, or only customers who've completed a purchase or job?
- Staff, partners or influencers? (Those are usually affiliate programs with different rules; keep them separate.)
2. What counts as a successful referral?
- A first purchase by a new customer? A minimum spend?
- For services: a booked and completed job, not just an enquiry.
- Referral tools commonly count only genuinely new customers. ReferralCandy's help center, for example, says it only counts referrals that result in a first-time purchase by someone new.
3. What does each side get?
| Reward type | Works well for | Watch out for |
|---|---|---|
| Discount for the friend, store credit for the referrer | Repeat-purchase stores | Credit must be easy to spend |
| Cash or gift card for the referrer | High-value services (roofing, solar, renovations) | Pay only after the job is complete and paid |
| Free add-on or upgrade | Salons, gyms, studios | Make sure it has real value to the customer |
| Charity donation per referral | Brands whose customers care about a cause | Less personal motivation |
| Tiered rewards (bigger after 3 referrals) | Enthusiastic customer base | More complexity to explain |
A two-sided reward (both people get something) usually makes sharing feel less like selling.
4. When is the reward released?
After your returns window or once the job's final invoice is paid. Releasing rewards on order placement invites "order, earn, refund".
5. How will customers share?
A personal link, a short code, or both. Links are easiest online; codes work better face to face or for phone bookings.
6. Limits
- Maximum rewards per referrer per month or year.
- Expiry on friend offers and earned credit.
- Can rewards stack with other discounts?
Tracking options
Option A: a referral app (online stores)
For Shopify, WooCommerce and similar platforms, referral apps handle unique links and codes, track first purchases, issue rewards and send emails. Shopify's App Store has a referral apps collection, and several loyalty apps bundle referrals with points. When comparing, check:
- Unique link and code per customer
- Automatic reward issuing after a delay you set
- Fraud checks (see below)
- Where the referral widget appears: post-purchase page, account page, emails
- Reporting: top referrers, revenue from referrals, conversion of shared links
- Data export
Option B: simple form plus CRM (service businesses)
If you take a few dozen jobs a month, software designed for thousands of orders is overkill. A workable setup:
- Give each customer a short, personal code ("SMITH25") in their job-completion email.
- Add a "Who referred you?" field and a referral code field to your quote or booking form.
- Store both on the lead in your CRM (or a shared spreadsheet).
- When the referred job is completed and paid, mark the referral as earned and send the reward.
- Thank the referrer personally. For services, that call or note often matters more than the reward.
Option C: custom build
If referrals are central to your growth, or you need rules across several products, a custom referral feature tied to your customer accounts and CRM may be worth it. Start with Option A or B first to prove the program works.
Fraud and self-referrals
Most referral fraud is customers referring themselves: a second email address, a partner's name, the same household.
Referral tools commonly block or flag these. ReferralCandy's documentation, for example, describes automatically blocking referrals where the friend is already a customer, the details exactly match the advocate's, or the friend was already referred by someone else. It flags near-matches in names or emails, multiple referred purchases from one IP address, and unusually high referral volumes for review, and it extends the review period for flagged referrals rather than deciding for you. Friendbuy's help docs describe configurable fraud settings and business rules, plus tools to block specific codes or email addresses.
Your own rules should cover:
- Same address or payment card as the referrer: hold for review.
- Bursts of referrals from one person: check whether their code has been posted on a coupon site. ReferralCandy suggests searching for the code online when you see a spike.
- Reward only after the friend's order is final (not refunded, job paid).
- A cap per referrer, with exceptions you approve for genuine superfans.
Treat flags as prompts, not verdicts. A loyal customer with a large social following can look suspicious and be entirely legitimate.
Promoting it
A program nobody knows about refers nobody. Put the invitation where happy customers already are:
- The order confirmation or job-completion email
- The thank-you page after checkout
- The customer account page
- A short line on receipts or invoices
- A follow-up message a week or two after a successful job, when satisfaction is highest
Launch checklist
- [ ] Rules written in plain English: who qualifies, what counts, when rewards are paid, limits, expiry
- [ ] Referral page on the website explaining the program in three steps
- [ ] Tool or form set up; unique links or codes tested end to end
- [ ] Test referral placed with a colleague, and reward issued correctly
- [ ] Fraud rules and review routine agreed (who checks flags, how often)
- [ ] Reward fulfillment tested: credit applies at checkout, or gift cards send
- [ ] Invitation added to emails, thank-you page and account page
- [ ] Reporting set up: referrals, conversions, rewards paid, revenue from referred customers
- [ ] Date set to review results after the first three months
FAQ
How big should the reward be?
Big enough to feel worth a message to a friend, small enough that you still profit on the referred customer's first order. Work it out against your margin per new customer.
Should I use a referral app or a loyalty app with referrals?
If you also want points for repeat purchases, a combined loyalty app avoids running two tools. If referrals are the only goal, a dedicated app is simpler.
What if a customer refers someone who never uses the code?
Ask "How did you hear about us?" at checkout or booking, and honor referrals you can confirm, even without the code.
Can I run a referral program without any software?
Yes, for low volumes, with a code field on your form and a spreadsheet. Move to software when tracking takes more than a few minutes a week.
