Example Data in a Digital Template: A Reset Walkthrough for Buyers
A digital template shop often ships a file that looks finished. It has sample names, sample amounts and sample notes so the buyer can see how it works. That helps when you are browsing. It causes trouble when the buyer starts typing over the demonstration entries and cannot tell which rows were theirs.
This article proposes a short walkthrough a shop could publish with each template. It is an example workflow, not a report of what any shop or buyer has done. All sample entries below are hypothetical.
The idea
Give the buyer two clearly named states of the same template: a Demonstration state, which shows every feature with obviously fake entries, and a Blank start state, which holds the same structure with no entries. The walkthrough teaches the buyer to recognise the difference and to choose deliberately.
Inputs the shop prepares
- A list of every place in the template where sample content appears, such as titles, example rows, placeholder dates and sample totals.
- A fixed label convention for sample content. For example, every demonstration entry begins with the word SAMPLE in capitals. This is one possible choice, not the only one.
- A short description of what a correctly blank template looks like, for instance: all example rows removed, headings kept, instructions kept.
- A screenshot or text description of each state.
The walkthrough, step by step
Step 1. Open the file and read the first screen. Ask: does any entry start with SAMPLE? If yes, you are looking at the Demonstration state.
Step 2. Decide your purpose.
- Branch A: you only want to learn how the template works. Stay in the Demonstration state and do not save over it. Keep the original untouched.
- Branch B: you want to use it for your own material. Move to Step 3.
Step 3. Make a copy and rename it with your own project name. Never start your own work in the only copy you have.
Step 4. In the copy, remove every entry labelled SAMPLE. Use the shop's list of sample locations so you do not miss any, including the less visible ones such as a sample total or a placeholder date.
Step 5. Compare what is left with the shop's description of the Blank start state. Headings and instructions should remain. Example rows should not.
Step 6. Add one entry of your own. Check that it appears where the instructions say it should and that any totals or summaries reflect only your entry.
Decision branches and stop conditions
- If you cannot find the list of sample locations, stop. Ask the shop for it, or use the Blank start file if one is provided, rather than guessing.
- If after removing the SAMPLE entries a total or summary still shows a number, stop. Something sample-related is still present, or the total is a fixed example. Check the shop's list again before continuing.
- If removing a sample entry leaves an empty area that looks broken, do not delete the area itself. Compare with the Blank start description, because empty is the expected result.
- If you are unsure whether an entry is yours or a sample, treat it as a sample only when it carries the label. Otherwise leave it and ask.
Worked example
Imagine a hypothetical weekly planner template. The demonstration shows a week with entries such as SAMPLE Call with Example Client and SAMPLE Project outline. The shop's list says samples appear in the seven day boxes, in a goals box and in a footer note.
A buyer wanting a clean planner copies the file, names it Autumn Planner, and clears the day boxes, the goals box and the footer note. They compare against the description: day headings stay, example entries gone. They type one entry, Dentist reminder, into Tuesday. It appears in Tuesday only, and the goals box is empty. The reset is done.
Small acceptance test
The shop can check the walkthrough with a person who has not seen the template. Give them the Demonstration file and the steps. Ask them to produce a blank copy with one entry of their own. Pass the test if:
- Zero entries labelled SAMPLE remain.
- Headings and instructions are still present.
- Their single entry is the only content, and any total reflects only that entry.
- They never saved over the original.
If they miss a sample location, the failure belongs to the list, not the person. Add that location to the list and repeat with someone new.
Optional choices
The label word, the number of states and whether to ship a separate blank file are choices. A shop with a very simple template may need only one file and a short list. What matters is that a buyer can always tell, at a glance, what came from the shop and what is theirs.
Conclusion
A reset walkthrough turns a vague worry into a checkable routine: label the samples, list where they live, copy before editing, clear against a description, and prove it with one entry. Publish the list and the description beside the template, and test them with a fresh reader before you rely on them.
