Click and Collect: Choosing a Store Is Not the Same as Being Ready for Pickup

A customer choosing a collection location should not automatically receive a message telling them to travel there. Your shop needs a clear distinction between an order assigned to a store and goods prepared for collection. Agree that customer journey before enabling Click and Collect.

This article concerns collection instructions and handover. Stock reservation, payment processing and contractual commitments still need their own rules; a pickup selector does not settle them.

Offer a real collection destination

Define which locations actually serve customers, not merely which buildings hold stock. Show the collection address, entrance or counter instructions and the relevant opening information. A warehouse can be an internal storage location without being an appropriate public collection point.

The Odoo 19 delivery-methods guide documents selecting warehouses as pickup locations. It also says each warehouse needs a complete address or it will not be shown. That illustrates a configuration dependency, not a guarantee that an address is operationally ready for visitors.

For your own shop, name who keeps collection instructions current. Do not silently substitute a different branch after the customer has chosen one. If a move becomes necessary, agree how staff obtain the required customer decision and issue corrected instructions.

Separate eligibility from readiness

Odoo documents a stock-based location selector, but it has an important exception: an out-of-stock location can be selected if Continue selling for out-of-stock products is enabled. Do not translate the existence of a selectable store into an unconditional “available now” promise.

Decide whether you permit advance collection orders. If you do, explain the expected preparation process without inventing an exact ready time. If you do not, have the developer demonstrate how the shop prevents the unsupported choice under the actual settings.

Next, define the event that means the goods are prepared. It might be a staff confirmation after picking and checking the order. The checkout confirmation should explain whether the customer must wait for a separate ready message. Choosing a location and completing payment are not, by themselves, evidence that someone has packed the goods.

These readiness controls are proposed requirements, not automatic behaviour established by the cited Odoo page.

Make the counter handover explicit

Specify what staff need to find the order and what the customer is asked to bring. If another person may collect, define an appropriate authorisation process and have any identity-data requirements reviewed. Do not collect extra personal information simply because a generic form permits it.

Distinguish ready, collected and an order that needs follow-up because nobody arrived. Agree whether a collection deadline exists and how a missed deadline is handled. Do not invent a cancellation, restocking or refund policy in the interface; use the business's reviewed policy.

If a ready message fails, staff should see the communication problem separately from preparation status. Resending an invitation must not mark the goods collected.

Check payment settings before launch

The Odoo guide says activating Click and Collect enables and publishes Pay on Site by default. For an Odoo implementation, inspect that result against the payment methods you actually intend to offer. For any platform, demonstrate the agreed prepaid or pay-at-collection journey rather than assuming pickup changes payment correctly.

Rehearse the customer's trip

Use test orders to select a branch, encounter the agreed out-of-stock outcome, receive an order confirmation and then a separate readiness decision. Inspect the address and instructions on a phone. At the counter, find the order and record collection without confusing it with payment or notification delivery.

Also test a changed location, a failed message and an uncollected order. Write the expected outcomes into acceptance criteria before commissioning the shop. The deliverable is an honest invitation to collect the right goods at the right place, not just another checkout option.
