Employee Certification Tracking: What Happens Before a Credential Expires?
An employee certification register should tell staff which evidence has been checked, when it stops being valid and who owns the renewal. A file uploaded to a profile is not automatically an authenticated qualification. Nor does a green status, by itself, authorise someone to perform a particular job.
This guide is about commissioning a small-team register for credentials received from external providers. It is not a learning-progress tracker or a statement of which qualifications your work legally requires. Have the relevant competent people define those requirements.
Start with the document and its scope
Use a fictional employee and a sample credential when writing the brief. Record the person, credential type, issuing body, identifying reference where appropriate, and the work or location to which it applies. Two documents with similar names may not cover the same task.
Separate submitted evidence from reviewed evidence. Decide who may inspect a document and how they confirm it with the issuer when necessary. Record the review outcome and reviewer, not just the date a file arrived. Restrict access to the supporting document according to the agreed staff roles.
These are proposed project requirements. The Odoo 19 employee certification guide provides a narrower product example: certification entries identify the employee and certification, with received and expiry dates. That structure does not establish independent authentication of the issuing organisation or document.
Do not turn an unknown date into “indefinite”
Ask where the start and end dates come from. An issue date, a validity start and the day somebody entered the record may differ. Preserve the document's actual dates and give reviewers a way to flag missing or unclear information.
Odoo documents a validity form whose start defaults to the current date and whose end defaults to indefinite. That is a configuration detail to check carefully when entering evidence, not proof that a credential never expires. In your register, unknown, awaiting review and genuinely without expiry should be distinguishable.
Specify the expiry boundary as well: which date and time zone control the change, and who decides an ambiguous date? Do not let an interface silently grant an extra working day. Where external rules apply, have the responsible specialist set the interpretation.
A warning needs an owner
Odoo's guide describes current, expired and approaching-expiry entries, including an orange indication within 90 days. That illustrates an upcoming-expiry view; it does not demonstrate a completed renewal workflow or guaranteed reminders.
Choose your own warning interval with the people who arrange renewal. Name a responsible person, a backup and the next action. Booking a course or requesting a new document is not the same as receiving reviewed replacement evidence. Preserve the old credential and connect the replacement rather than overwriting the history.
Decide what a scheduling tool should do when evidence is missing or expired: flag for review, prevent a particular assignment, or follow another approved procedure. Do not infer an automatic block from a colour in the register. Any exception needs an authorised decision and explanation, not a casual edit that makes an expired record appear current.
Demonstrate the handover
Include a missing expiry date, an approaching deadline, a rejected document and a replacement in your acceptance criteria. Verify the renewal owner sees the issue and that changing a date leaves an explanation. Check the assignment screen follows the agreed policy without implying broader permission than the evidence supports.
Bring sample credential types and renewal responsibilities to a business-app discussion. A useful register makes uncertainty and the next responsible person visible. It does not replace professional judgement or certify that every employee is legally eligible for every task.
