A Weekly Management Email: Which Figures, Which Period and Which Recipients?

A management digest should answer a small set of recurring business questions without asking everyone to open a dashboard. Agree the figures, reporting period and recipients before commissioning it. A weekly email is a snapshot for review, not a live operational screen or proof that somebody has acted on a problem.

Keep it separate from urgent alerts. A delayed order requiring immediate attention needs its own response arrangement; it should not wait for the next management summary merely because the same app produces both.

Begin with the meeting or decision

For a hypothetical service business, a weekly summary might support a Monday review of newly received work and work still open. Ask the manager what decision each figure informs. If nobody can explain why a metric belongs, leave it out of the first version.

Odoo 19's digest-email guide provides a concrete product example: periodic snapshots sent to organizational users, with configurable indicators, frequency and recipients. It illustrates the shape of the feature, not a universal definition of the figures your business needs.

Write the definition behind each chosen number. “New work during the period” and “work open at the cutoff” describe different populations. Specify relevant statuses, business unit and treatment of later corrections. Do not assume the sending schedule supplies those definitions.

Separate reporting time from sending time

The Odoo guide distinguishes periodicity from the next send date, offering daily, weekly, monthly or quarterly frequency. In a custom brief, separately name the period covered, the cutoff timezone and the intended delivery schedule. Sending on Monday does not by itself establish which days the figures describe.

Display the covered interval and snapshot time in the email. A link to the live app may show a changed result later; explain that it opens the current view unless you explicitly commission a historical report. Decide whether corrections produce a labelled replacement or appear in the next digest.

If generation fails or data is incomplete, do not send a normal-looking zero report. Agree a visible failure outcome and a responsible reviewer. These are proposed requirements, not guarantees supplied by the documented frequency setting.

Select an audience for the actual contents

Treat recipients as a reviewed list, not every account that can sign in. The Odoo example has a separate recipients configuration. For your app, agree who may change that list, what happens when someone leaves and which figures each audience is permitted to receive.

An email can remain in a mailbox after app access is withdrawn. Put only the information appropriate for that channel into the message; keep restricted detail behind an authenticated app view where appropriate. Do not assume that a link alone prevents the email's own contents from being forwarded.

For several teams, decide whether each gets its own scope or a permitted organization-wide summary. A reporting total should not silently expose a different team's confidential data.

Stop test copies from becoming a second sender

Odoo explicitly warns that a duplicated database with sending capabilities continues to send digests unless they are deactivated. A copy labelled “test” is therefore not enough evidence that external sending has stopped.

Require test and restored copies to have an independently checked sending boundary before their scheduled work runs. Use controlled recipients and harmless records for demonstrations, never a real customer or employee mailing list. Agree what happens to overdue digests after an outage; blindly replaying every missed summary may create misleading or duplicate messages.

Accept the complete snapshot

Ask for a controlled example with a known period, included and excluded records, two recipient scopes and a missing-data case. Confirm the email matches the agreed record set, carries its period, follows the approved audience and links to the intended view. Demonstrate disabling the digest and checking the isolated copy's sending boundary.

Record these results in your acceptance criteria. For a reporting-app discussion, bring the questions your weekly review needs answered, rather than a request to email every dashboard number.

Source and limits

Odoo19 supports the product examples of snapshots, configurable metrics, recipients, frequency, next send date and the database-copy warning. Period definitions, permissions, correction handling and recovery rules are commissioning advice; no scheduler or email implementation is certified here.
