Required Rental Security Deposits: Is Your App Only Suggesting One?
If your rental business requires a refundable security deposit, do not accept a demonstration that merely shows it as an available extra. The important question is whether a qualifying rental can proceed without the required deposit being accounted for. A sentence in the product description and an order-entry rule are not the same thing.
This guide is about including and tracing a separate rental security amount. It does not prescribe deposit rights, deductions, tax treatment or refund deadlines. Have the relevant policy and accounting reviewed before the developer implements it.
Read the actual addition step
The Odoo 19 rental deposit guide gives a useful example. It configures a deposit service product for each rental product needing one, then links it through Optional Products. Its instructions explicitly tell staff to add the deposit in the product-configuration popup.
For eCommerce, the same page suggests a description stating that the deposit is required, while describing the deposit appearing under available options. That documentation alone does not establish an unavoidable checkout rule. Do not claim Odoo always permits omission either: demonstrate the actual installed configuration and any extensions.
Use this distinction in your brief. Is the deposit automatically included, deliberately selected by staff, or checked at a later approval step? Name the step that prevents an incomplete order from becoming a customer promise. If exceptions are allowed, specify who approves them and why.
Link the amount to the equipment it secures
A fictional rental company hires out a camera and a separate lighting kit. Decide whether their security amounts apply per unit, per product line or once to the combined hire. These are business rules to agree, not behaviour inferred from a product name.
Keep the rental price and security amount understandable on the quote and customer confirmation. If staff remove one rental item, the app should follow the approved rule for its related deposit, not leave an unexplained extra or remove all security from the remaining equipment.
Also decide what happens when equipment is substituted or a quantity changes. Preserve the basis of an already collected amount and route any adjustment through the approved financial process. Renaming a line should not rewrite payment history.
Test every way an order can be created
A website popup is not coverage for a telephone order entered by staff. List the channels you actually use, including copied orders or integrations if applicable. Demonstrate the same required-deposit policy at the agreed confirmation point in each one.
Try dismissing the prompt, removing the deposit line and changing the rental quantity. The expected result may be a block, a review queue or an authorised exception, depending on your policy. It must not be an apparently complete order with a missing requirement nobody owns.
Keep return and money records linked
Odoo documents reimbursement through a credit note from the invoice and setting the linked sales order's delivered quantity to zero. Treat this as its documented process, not universal accounting advice or proof that a bank transfer has completed.
Your handover should let staff connect the collected security amount with its approved outcome and actual payment evidence. Any proposed deduction requires the policy, evidence and permissions appropriate to the business; this source does not establish a right to deduct for damage.
Use test orders and test payments, not customer funds. Require a rental without the required line, a changed quantity, an approved exception and a completed return through the approved financial trail. Bring those examples to a rental-system project discussion. Acceptance means the deposit rule survives real order entry, not simply that an optional extra can be displayed.
