Sales Commission Software: Define What Earns Credit Before Calculating Pay
A commission dashboard should explain why a sale contributes to a person's result. Before choosing percentages or adding charts, define the earning event, calculation basis, credited person or team, period and correction process. A calculated commission is not automatically an approved or paid amount.
This guide concerns application requirements, not employment entitlement or payroll advice. Have the compensation policy, permissible adjustments and payment treatment reviewed by the appropriate advisers before implementing them.
Start with the event, not the rate
An accepted sales order, an issued invoice and a received payment are different events. A rule based on one should not quietly use another because the data is easier to retrieve. State which records qualify and which statuses are excluded.
The official Odoo commission documentation distinguishes measures including Amount Sold, Amount Invoiced, quantities and margin. It describes Amount Sold through sales orders and Amount Invoiced through confirmed invoices. These are product-specific definitions, not proof that invoicing means the customer has paid.
Specify the amount used: for example, whether discounts, tax, delivery charges and currency conversion are included. If margin is chosen, name the cost basis and when it is captured. These are policy decisions to agree, not accounting definitions supplied by this article. A result should open into the records and inputs that explain it.
Decide who receives credit
Odoo supports plans for individual salespeople or a sales team. For your workflow, decide whether credit belongs to the owner at sale, at invoice or at another defined event. Reassigning a customer tomorrow should not silently move last month's result unless the reviewed policy explicitly requires it.
If two people share a sale, specify the split and how the tool prevents accidental double credit. Also decide what happens when nobody is assigned, a person leaves the team or one sale qualifies under multiple plans. Surface exceptions instead of making hidden assumptions.
This is attribution for an internal compensation calculation, not advertising attribution and not a customer loyalty scheme.
Make the period and plan version visible
Odoo describes effective periods and monthly, quarterly or yearly target frequency, and distinguishes target-based plans from achievement-based plans. A target-based scheme and a flat reward for qualifying activity are not interchangeable.
Before commissioning the calculation, ask for a reviewed worked example covering below-target performance, a boundary and above-target performance. Write down whether a new band applies to the whole basis or only part of it; do not infer that from the word tier. Demonstrate the intended result with your own approved policy, without assuming every provider uses that formula.
The Odoo guide says approved plans cannot be edited without first resetting them to draft. For a custom tool, go further in the brief: preserve the approved plan version used for each calculation and define how a later amendment affects open and closed periods. A changed plan should not silently rewrite a previously reviewed statement.
Corrections and payment need their own stages
Agree how cancellations, credit notes, late invoices and disputed attribution affect a result. The correct treatment depends on the reviewed compensation arrangement; do not impose an automatic deduction merely because a transaction was reversed.
Show a proposed calculation separately from a reviewed statement and settlement record. If corrections are allowed after a period closes, preserve the earlier statement and link an explanatory adjustment. Staff should be able to raise a question about a particular contributing record without losing the history.
Ask for an explainable demonstration
Use fictional sales and staff in the acceptance tests:
- The qualifying event matches the written policy.
- Invoiced and paid are not presented as synonyms.
- Each result identifies its calculation basis, period and plan version.
- Shared ownership follows the agreed allocation rule.
- Customer reassignment follows the historical-credit policy.
- Boundary examples match the approved calculation.
- A reversal or closed-period correction remains explainable.
- Calculated, approved and paid amounts are visibly distinct.
Discuss the approved policy when planning an internal sales application. The cited Odoo 19 guide supports its documented metrics, individual/team plans, periods and approval editing restriction. Historical attribution, version retention, correction rules and settlement separation here are requirements to specify, not claims about every commission product or promises of improved sales.
