Sales Email Into Your CRM: Which Inbox Creates a Record, and Whose Messages Get In?

A sales email address can do more than collect messages: it can create a record for a team to work on. Before connecting it to a CRM, decide which destination each address represents and who is allowed to write to it. An address meant for new prospects must not quietly accept only people already in your customer list.

This is an intake decision, not a rule for qualifying an enquiry as a worthwhile sales opportunity. Keep those decisions separate when commissioning a business application.

Give each address one understandable destination

Odoo 19 provides a useful concrete example. Its documentation allows each sales team to have a unique email alias. Mail sent there creates a lead or opportunity using information from the message. If the Leads feature is not enabled, the alias messages become opportunities instead.

Write an address-to-destination map in your brief: public address, responsible team and initial record type. Ask what happens when an address changes or a team closes. Those migration and fallback behaviours are requirements to agree, not capabilities established by this source.

Avoid a hidden assumption that every public mailbox should create a new deal. A general contact address might also receive supplier correspondence or requests for existing work. Decide which messages need a sales intake route before enabling automatic record creation.

Choose sender eligibility deliberately

Odoo lists Everyone, Authenticated Partners, Followers only and Authenticated Employees as different alias options. In this documentation, Authenticated Partners means addresses associated with a contact or customer record. Followers only includes people following a record related to the team, and team members; the employee option uses addresses linked to employee records.

Do not read the word authenticated as proof of an independently verified sender identity. The cited page describes address-to-record eligibility, not an anti-spoofing guarantee. Ask the implementer to explain the actual mail security separately.

For a public prospect address, test an invented sender absent from the contacts list. For an internal-only address, test a sender outside the permitted group. The right rule depends on the address's purpose, not on which option sounds most restrictive.

Preserve what arrived, not just a convenient title

The documented Odoo mapping places the received email in the lead's conversation thread, uses the subject as the title and updates the email field with the contact's address. That gives staff a starting point, but the title is not a summary approved by the sender or proof of a new sales project.

For your application, specify how staff can inspect the original request and distinguish information extracted from it from later edits. If attachments, forwarded chains or subsequent replies matter, put them in the demonstration. This source alone does not establish their full processing behaviour, attachment safety or reply-thread matching.

Make a refused message an observable outcome

Ask where a message rejected by the sender rule becomes visible, who checks it and what the person does next. Do not promise the sender a rejection email unless that behaviour has been implemented and tested. A mailbox receiving a message and the CRM creating a usable record are different checkpoints.

Use fictional correspondence for acceptance: a new external prospect, an existing contact, an internal sender and mail to an obsolete alias. Check destination, initial record type, admission outcome and preserved message together. Test a reply separately rather than assuming it creates a new record or joins the right one.

The acceptance checklist should record these outcomes before switching a working shared inbox over. Odoo's guide supports the specific alias options and field mapping above. Routing fallbacks, rejection monitoring and reply handling remain implementation questions, not demonstrated features or a promise of more enquiries.
