Selling Exhibition Booths Online: Which Exact Space Has the Exhibitor Booked?

An exhibitor buying a booth needs more than a receipt for a category such as “standard stand”. The organizer needs to know which physical space, at which event, is no longer available to someone else. Before commissioning an exhibitor portal, decide whether customers choose a named location or buy a category that staff allocate later. Those are different promises.

This concerns selling exhibition space, not visitor admission or equipment hire. The workflow recommendations below are proposed requirements for your project, not claims that a particular platform already enforces them.

Separate the category from the actual location

Use a fictional trade fair with several standard booths. A category describes the offer; a booth identifies the actual space. Two booths can belong to the same category without being interchangeable to an exhibitor who has selected a particular position.

Give each location a stable reference within the event. Agree what the category includes and which location-specific details require confirmation, such as access, dimensions or power provision. Do not let an attractive sample image imply that every position has the pictured layout.

The Odoo 19 event-booth documentation provides a concrete model. A booth has a required name and category. Selecting an existing category supplies its product and price as non-editable fields on the booth form. That illustrates why the category and individual booth should not be collapsed into a single generic product record.

For your portal, require the confirmation to identify the event and agreed location as well as the purchased category. If staff allocate the location later, say so before purchase and show allocation as unfinished work rather than inventing a booth number.

Say when a space becomes unavailable

Odoo describes buyers selecting a booth option and location, supplying contact details and proceeding to payment. On successful payment confirmation, the selected booth moves to the event's Unavailable stage. This does not establish a temporary checkout hold, its expiry or protection against two simultaneous buyers.

Specify those decisions separately for your implementation. Does opening checkout hold the booth? If so, for how long, and what does another buyer see? If no hold exists, how will the portal explain that the position is no longer available before accepting an incompatible booking?

Treat a payment with an uncertain outcome as a reconciliation case. Staff should be able to find the attempt and determine whether the location was committed before taking another payment or promising the same space again. This is a requested operational safeguard, not a documented Odoo guarantee.

Include bookings taken away from the website

The source also allows renter details to be entered manually for arrangements made elsewhere, and booth status can be changed manually. A telephone agreement therefore needs an explicit entry procedure in your business, not an assumption that the online catalogue already knows about it.

Decide who may block a space, what evidence supports that action and how staff distinguish an unpaid provisional arrangement from a confirmed booking. A manually unavailable location should have an accountable explanation. Equally, making it available again must not silently cancel the exhibitor's commercial agreement.

Keep cancellation, refund and reallocation policy separate and appropriately reviewed. The cited page does not establish those rights or automatically release a cancelled booth.

Demonstrate one location through both channels

Use fictional exhibitors and a small test event in the acceptance demonstration. Ask for a category purchase with later allocation, a named-location purchase, competing checkout attempts and a manually recorded telephone booking. Inspect the public listing, organizer record and buyer confirmation after each.

Also rehearse a delayed payment result and an authorized reallocation. The important result is a consistent explanation of who has which space and which decisions remain unresolved. Bring this worked example to a business-app discussion, rather than commissioning a floor-plan selector without defining the booking behind it.
