Visitor Parking in a Business App: Does the Pass Still Let Your Guest Leave?

A visitor parking pass needs a defined garage, an eligible visit and an access window that includes the journey back to the vehicle. Do not make reception sign-out accidentally mean “the visitor can no longer reach or exit the car park”. Before commissioning an integration, agree which visit types receive parking access and what happens before arrival, after sign-out and when plans change.

This is about permission to use visitor parking, not selling a numbered bay or guaranteeing spare capacity. An invitation, a garage-access credential and an allocated parking space are different promises. The recommendations below are proposed project requirements, not proof that an installed gate system already implements them.

Decide which visits receive which parking access

Start with a fictional shared office that uses two garages. A supplier delivering to one entrance should not automatically receive the parking permission intended for a meeting at the other building. Reception staff need to see the selected garage and parking type, not merely a badge saying “parking included”.

The official Envoy AVPMi Parking guide describes mapping an AVPMi location to an Envoy visitor flow, including disabling AVPMi access for particular flows. It also describes a default location, parking-type mapping and a default customer type when a mapping is absent. Those settings make the treatment of an unmapped visit a business decision rather than a harmless technical default.

Write an explicit mapping for your own premises. Include visits without parking entitlement and decide whether an unknown category must await staff review. Do not silently route every unrecognised visit to the most convenient garage. Ask the operator which access types the existing installation can actually enforce before presenting them as customer choices.

Establish whether the parking pass was really created

Envoy's guide says the integration can create a corresponding AVPMi pass for a preregistered guest assigned a QR code. Its requirements specify that QR codes must be enabled and the preregistered guest must have been granted one. A visit record alone is therefore not the documented prerequisite for this integration.

For your application, distinguish “parking requested”, “pass creation pending” and a confirmed result from the parking system. Decide what reception and the visitor see when a prerequisite is missing or the external outcome is unknown. A general invitation email must not reassure someone that garage access is ready when the application has no such confirmation.

Keep a reference connecting the visit to its actual parking record. If an external request times out, staff need a way to check that record before creating another credential. This is a proposed reconciliation control; the cited setup guide does not establish duplicate-request protection or a delivery guarantee.

Specify the access window around the visit

The source separates three configurable durations: early access before the preregistration start, general parking access and time after sign-out to travel to and exit the garage. It describes these as contributing to the total parking duration. Do not replace those distinctions with a single unexplained “expires at” field.

Ask the garage operator to approve the intended timeline. Which event starts ordinary parking access? What does early arrival allow? How is the post-sign-out period applied? Agree the actual resulting timestamps and boundary behaviour for the installed system rather than deriving an undocumented formula from setting labels.

Rehearse a guest who signs out at reception and still needs to collect a coat, walk to the garage and drive out. Also ask whether the credential allows re-entry during that interval. The guide does not settle re-entry rights, gate hardware behaviour or an emergency exit procedure. Have the premises operator define the appropriate assisted route; do not test by trapping a real person or obstructing a live exit.

Include changed visits and human assistance

A cancelled invitation, a moved meeting and a guest who never signs out need explicit treatment. Decide who may change the parking entitlement, how the parking-system result is confirmed and what staff do when that result remains uncertain. Preserve the earlier outcome in the operational record instead of overwriting it with “cancelled” before the external change is known.

Give guests a practical contact for a failed scan or a missing pass. Do not promise that changing a reception record immediately changes physical access. Nor should a parking pass be described as permission to enter every part of the building. Confirm the necessary personal-data handling and retention with the responsible operator, without turning this workflow outline into a legal assurance.

Demonstrate the full arrival and departure

Use invented visits and an operator-approved test environment for the acceptance demonstration. Include both garages, an excluded visit type, a missing QR prerequisite, early arrival, an unknown creation result and departure after reception sign-out. Add a rescheduled visit and a cancellation whose parking update fails.

Inspect the visit mapping, confirmed external record, approved access interval and staff instructions for each case. A scan that opens one gate once is not enough. Bring this complete parking journey to a business-app discussion so the scope includes leaving the premises, not only sending an attractive invitation.
